Quickbooks Rules are the built-in automation in QuickBooks Online that categorize downloaded bank and credit card transactions by looking for a specific phrase in the text the bank includes with each transaction.

Rules run on the Banking Transaction Download screen, where 📝Quickbooks Online collects transactional data each day from connected bank and credit card accounts. A rule that matches a phrase can assign the account, payee and class automatically, which reduces the manual work described in 📝Accepting Transactions in Quickbooks Online. Because rules match text rather than meaning, they misfire when banks vary their descriptions, and anything no rule catches still needs review.

As of 2026, Intuit also offers automatic categorization suggestions alongside rules, and the screen now sits under Transactions > Bank transactions; the screenshot below shows the older layout.

Rules enable primitive automation. They have gotten better and will keep getting better, but presently they're a blunt instrument.
